When it comes to stepping in front of the camera, the excuses for why you just can’t do it range from having a Minnie Mouse voice to having a receding hairline. I’ve heard all of these excuses and you don’t need to worry about any of them. I want to go over some of the most pressing reasons why people don’t want to appear on camera and reveal these excuses for exactly what they are, that is just a reason not to engage.

“I’m not attractive enough to be on camera.”

Think about any of these — Sally Jesse Raphael, Joan Rivers, David Letterman, Geraldo, Oprah Winfrey or Larry King. None of these much-filmed celebrities could be considered to be the ideal human specimen, yet all of them have made millions talking on-camera. • Ask. This may sound overly simple but providing a “Link to Us” page on your site with a few buttons and text descriptions can garner new links to your site. • Build a rapport and relationship with others in your niche. You might find that an authority or a “guru” will link back to you, just because of this.

• Be a list builder. Lists are the most popular “101 Ways to…,” “10 Tips for…,” “Top 10…,” “5 Myths About…,” etc. are always good for attracting links. They are easy to read, have a lot of great information and can establish you as the “expert” in your field, as you build your links.

• Write articles and submit them to the top 10 article directories at Alexa, as well as to other websites that use articles in your niche topic.

• Become the “go-to” person for whatever it is you do. For example, Jimmy Brown became known as the PLR guru because he, effectively, invented it. If you do something significant in your niche, people will really want to associate with you and post a link to your website on their portal. In this kind of an environment, a virtual assistant can thrive, generating incredible numbers of potential long term contacts for your business.

• Tell all your family members and friends about a new article on your site or a new resource, asking them to link to it if they would be so good.

• Write posts or articles about companies that create links to corporate news on their sites. If you visit the corporate website and look for media links, you will find backlinks to material written about the company on the Internet. The larger companies have automatic alerts established to find such articles and blog posts, in order for them to link up.

2. Slideshows These don’t have to be as boring as those endless PowerPoint presentations that you probably remember from some corporate meeting. But things have changed, and with basic slideshow software (you don’t HAVE to use PowerPoint!) you can use still photos, graphics, and other images to create a smooth-flowing, entertaining video. Already loaded onto your computer you will find Windows Movie Maker (or on the Mac, iMovie), but you should also have a look at Animoto.com. You may already have all you need.

Here are some examples:

3. Static photo. Maybe you don’t want to be on camera and don’t feel up to creating a slideshow either and in this case you could just focus on a single image alone. If you are considering a longer video this is not an ideal option, as it is not much fun to just sit there and stare at a single image for an extended period of time.

These are some options to get you started and are certainly better than not taking any action at all, but in the long run people want to see and get to know you and ultimately you’re going to have to take the plunge and get in front of the camera.

Finally, have a good idea about what you want to achieve before you start. Look for examples online and make a note of what you really like about them. Maybe all the spokespeople are women? Are they shot indoors? Do they have a humorous angle? Make a list so you can convey these points to your actor. Knowing what you’re looking for beforehand will make it easier to know when you’ve got it! That’s a very businesslike way of describing a virtual assistant business. Here is what I really think virtual assistants are from my own personal point of view. In short, a Virtual Assistant is someone who gives assistance online. I think that there are a lot of people out there who are virtual assistants and don’t realise that they’re virtual assistants yet. You might be a writer for a travel magazine, a freelance journalist of some kind, or somebody who writes for a number of different papers or magazines. If you are technically assisting these outlets with the creation of the content, you could be classified as a virtual assistant. Now, I’m not saying that you are a virtual assistant but at some form of virtual assistance. You might be writing on a freelance basis. You could be helping somebody with their social media efforts. If you provide the services online and you provide those services over the internet then I believe you are providing virtual assistance.

That is open to interpretation as I am expressing my opinion and I’m talking to anybody who is considering coming into the Virtual Assistant Program that I am putting together, together with the VA Apprentice. You don’t have to be somebody doing administration or secretarial work and you don’t have to come from that kind background at all. Your background, in this case, is irrelevant. What we really need to focus on is what you actually do, what your aspirations are and what skills you have, together with the right amount of passion for these important things that feature in your life and how you can convert them into an online business, effectively. So we can boil it down to this: I aim to look at all the skills you have, to take into account your experience, look at what business you have right now and then convert everything into a virtual business, so we can launch it on the Internet.

You see, whichever way you look at it, whenever you provide something for another person you are providing assistance. Call it what you want, maybe a partnership. You might look at it as a colleague to colleague relationship. We can call it anything like that. But if you are providing something for somebody else, then you are assisting. If you’re doing it online, it’s virtual, virtual assistance. That’s what it is to me anyway because basically my business is made up of a variety of different things. I do administration, all the general secretarial tasks that you find that traditional virtual assistants do but I also do web design and development, content management systems, word press, social media marketing, writing, you name it it’s on there. I make sure that I focus my interests on anything to do with building a presence online and building a web business and advise you to do the same. All of these areas and functions need to be mastered by you, if you are going to have a very successful and workable online business.

So, that’s what I decided that I wanted to do but you may be different. You might want to restrict yourself to just bookkeeping. Okay, but you can also be a virtual assistant because you can take your bookkeeping business online. I can enlighten, don’t worry.

So, that’s basically what I think virtual assistance is and even if I was to get rid of a lot of my services and I was to say, “Right, you know, I’m going to scrap the admin. I don’t want to be involved with social media marketing and these other things and just concentrate on web development.” If I’m providing this online and I’m assisting other people with their websites, I’m still a Virtual Assistant. I’m not going to change my name because I’ve just decided to focus on web development.

That’s my opinion of what a Virtual Assistant actually is. It’s anybody who provides assistance to anyone else online from a remote location.

By now, you should be convinced that video is not only critical, but doable! If you are yet to be convinced, keep reading over it until you are! Along the way, though, you may run into a few problems. If you find any of these obstacles in your way, here are a few ideas to help:

1. Your sound is lousy. If your sound is picking up too much background noise, or if your voice simply isn’t loud enough, you’ll need to make some changes. First, check the settings on your camera. It might be possible to adjust the audio settings on there, to help. If not, or if moving closer to the mic doesn’t work, you might need to buy a lapel microphone, or one that will simply sit on the table in front of you.

2. Shaky video. One word: Tripod! There are fabulous, low-cost tripods out there, from simple table-top options, to crazy bendy-legged ones, to ones that will stick on the side of a wall or building. Tripods are not as expensive as you might think, either. There is no longer an excuse for giving your viewers seasickness!

3. You look like a robot. If your finished version looks unnatural, there is only one thing you can do — practice more. Go back and read the section “Practice Makes Perfect,” as there are some great tips in there. As you practice your comfort level will rise, but don’t get to the point where it looks entirely rehearsed and unnatural.

4. You are boring. Technically, you seem to be doing everything right – but you’re so boring, even your dog falls asleep! If this is your issue, you are not conveying your enthusiasm for your topic. Even double entry bookkeeping can be interesting if you communicate your excitement. Don’t try and be overly effervescent if you are not naturally so, but do accentuate your personality just a little bit! (Note: If you’re not passionate about the subject matter, take another look at your business niche. Are you sure you have chosen the right subject area?)

5. The information isn’t compelling. Very few of us have that type of personality that we are able to make even the most mundane content material seem exhilarating. But nevertheless, we still need to be engaged with the content. If what you’re presenting isn’t of interest to your audience, you’re going to lose them. Check over your keyword research and find out what people are actively looking for in your niche and remember to focus on those areas.

It all boils down to finding out what is holding you back from doing this and getting into video production as soon as possible. Take a deep breath and dive right in — put your video camera on right now! Don’t think about it too much, just go for it, and see what you come up with on your first take! Chances are, if you’re client is already outsourcing to you, she understand the benefits of outsourcing and simply needs to know that your team can handle her projects with the same care that you do. Think of some of these concepts as you talk with your client to let them know that your team will be as advantageous for them, as you are:

1. Each member of your team has a special skill that you hired her for. She only handles that aspect of the project and so she can give it her full attention and talent. The fact that this dedicated attention will be given to this particular task can only be of advantage to the client. For example, if one of your team members is in charge of creating graphics for your client’s site, she’s not going to be worried about the HTML, WordPress or hosting. All her creative abilities will be dedicated to working on the development of the graphics.

2. As you have a number of people allocated to specific tasks associated with the project, everything will be able to progress a little quicker. Focus on this. How many times, when you know you have a huge project to do, have you hesitated getting started? Or maybe things just progress more slowly than they should. Some people just shut down when they realize an enormous project is on the horizon. However, by allocating individual pieces of the contract to competent people, everybody focuses on what they need to do, constructively.

3. Your job as virtual assistants project manager is to look over everything that is done, so this automatically allocates a second pair of eyes to each piece of the task. Most lone wolves in the service industry don’t have the luxury of providing more than one set of eyes to review projects for mistakes, errors and elements that just don’t fit.

Your client will be quite happy that you are in charge of a team of dedicated people and not just farming work out because you don’t want to be involved with it and should be more than happy to work with you and your team of creative, motivated and dedicated people, all devoted to her business. If a client doesn’t understand, perhaps it’s time to find a new client and let this one go.

Now that you have your client’s trust, make sure you are leading your team. Hire virtual assistance subcontractors who you trust to do their best work and who you know are capable of maintaining or exceeding your standards.

If you’re worried about subcontractors taking your client’s work, you can always just hand out pieces of the project to each subcontractor so no one knows the whole story. And keep the client’s name to yourself. Also, make sure your contracts include confidentiality and non-compete clauses.

You can add a whole new dimension to your organization by taking on subcontractors. Your clients will pay you and in turn you will pay your subcontractors. This administrative work is additional of course, for you or your bookkeeper, but you will more than pay for this hassle due to the additional productivity gain. You do have to bear certain elements in mind in order to make it all work, though.

First, you need to determine how you’re going to charge for a project. Are you going to charge your client an hourly rate or a per-project rate? You’ll also need to find out if your subcontractor is going to charge you hourly or by the project.

Next, determine how much your subcontractors will bill you for the work that they will do on your behalf. Armed with this information, you can work out how much you will quote for your services to manage these projects, edit everything and communicate with the customer. Add these two numbers together, along with any other necessary fees, and you’ll have the amount you need to quote the client (although I recommend adding a small contingency fee as well).

In any case, it’s important that you make sure you charge enough to cover your virtual assistant subcontractor’s fees, the time you have invested in the project and any overhead that might be associated with the project. With all these calculations completed, get ready to sign contracts with the subcontractor and the clients before anything is done. This may well be the time to talk to your lawyer to see that you have everything covered.

Payments

Once the project is completed, some virtual assistants which are subcontractors invoice immediately. Some, however, will send an invoice every month or even every week. You’ll need to speak with your subcontractor to find out what her policies are. Also, some subcontractors may sell you a set number of hours or tasks per month and you pay a set amount. Work is completed until the hours are used up. This can be a satisfactory arrangement if the tasks involved are not client specific, or related to certain projects.

Work out the best payment arrangement with your subcontractor ahead of time. PayPal is a very common way of handling online subcontractors. Other times, he or she may accept checks, or you may be able to complete a credit card transaction. In the case of a small subcontractor, you will more than likely be expected to handle the invoice right away. Larger companies may give you a grace period of up to 30 days after receipt of invoice. Just clarify the policies in each case.

Maybe the Client Won’t Pay?

When the subcontractor charges you for a project related to a certain client and the client won’t fork up, you might consider delaying the payment to the subcontractor. That said, this issue is something that should be covered in your contract with the virtual assistance subcontractor. But even if it’s not, as the project manager, it’s your responsibility to make sure those working under you get paid, even if you don’t. It will also be your responsibility to seek payment from the client.

Take care of your subcontractors, pay them well and make sure you charge your clients enough and your business will be much more successful for it.

Every virtual assistant will need to assemble a team at some time in their career. When you gather a team around you, you open up a whole new world of opportunities. But, handling all those people will take more than your stellar brain. It is quite a challenge to look after a group of people who have a number of different skills and many different personalities.

Make a fairly detailed list. Who is the most adept at a certain job? There are several ways you can do this. You might be looking for somebody as an article writer, for example. If they are suitably qualified, they could take on the article writing needs for a number of different projects. Or, you can use a different VA for each specialty that you handle, i.e. someone who is experienced with financial matters works with those clients and someone else who is experienced with website development can work with online businesses development and design.

What you want to do is spread out the work so that deadlines are getting met. Beware of burnout, which can come quickly if not careful. Take inventory of how many people you will likely need to cover your overflow.

Getting your Mind Right

What’s this all about? This will determine how you end up managing everybody. Don’t be tempted to micromanage, this is not the answer. That is just a fancy and roundabout way of doing all the work yourself. Micromanaging is very bad for you. As soon as you are happy that you have the right person for the job, you must let your professionals get on with everything with a minimum amount of oversight.

You have already determined that each person has a different way of doing things. The important thing is that they can deliver for you. You can give each person a probationary period to evaluate their work. Don’t try and do this when there’s a lot of pressure, so implement it early on. You don’t want to test them under fire.

Project Tracking

A project management system lets you keep track of not only the projects but the subcontractors as well. Ask them to upload the work that they have done at certain stages, so you can make sure everything is on track and keep in appropriate touch with your client. Any documents that are needed by you and them can be uploaded to the project.

This system works well for asking questions, posting new information and hosting discussions with your team. There are options for you. Basecamp is a system that allows you to create client lists, post projects and add users. You can limit the access of each of the virtual assistants which are subcontractors to their own specific area, where they will have their own username and password access.

SharePoint is another system. This system was created by Microsoft and functions in much the same way. Clients get access to some sites within the main area. They can view their work in progress and communicate questions or concerns right to you and the virtual assistance subcontractors.

As part of project management, you need to be able to track your team. If you want to rest easy, you need to know who is doing what and whether they are on time.
